Points to consider before you start your import


1. Make sure to have an updated list

When importing a list to your MarketHype, we advise you to ensure the list is updated and contains active contacts. For example, when importing a list of newsletter subscribers, we recommend only importing subscribers who have interacted with at least one of your emails during the last 3-4 months.

This will help you maintain high-quality data in MarketHype, and help your domain to keep a good reputation since it will decrease the number of opt-outs, spam complaints, and bounces.

2. How do you like to communicate with your contacts?

Consider the type of contacts you are importing by asking yourself the following questions:

  • How do you want to communicate with these contacts?

  • Should they be separated from the rest of your contacts in MarketHype, or can they be imported into the rest of the crowd?

MarketHype helps you store and keep track of each contact's marketing consent, this is done with the help of Subscription types. For starters, you have one subscription type called Marketing. This is where we collect and store all consents gathered from your ticketing or booking system.

Subscription types can also help you separate communication groups from others, for example, if you have a list of sponsors that you want to communicate with separately. Before you do the import, jump to Settings → Subscription types, and create a new one just for your sponsors.

Step 1: Choose the type of import


Go to Imports → Create import, and choose Contacts.

Step 2: Select the file


In the next step, you add your list via the drag-and-drop function or by using a click to select the file. The import list needs to be in CSV format.

If you have the list in similar structures, like .xlsx or .xls, you can often easily export your list to CSV format with just a few clicks.

For the import to succeed, it is essential to format the CSV correctly but the minimum is to have an email address or mobile number for the contact.

Standard attributes

Standard attributes available in MarketHype are First name, Last name, Email, Phone number, Address, Zip code, City, Country, Gender, and Birthday.

Here is an example of a correct structure with standard attributes containing opt-in time:

Custom attributes

Create and use custom attributes to add other attributes besides the standard ones to your contacts.

Here is an example of the structure to use custom attributes for different data types:

Step 3: Set the information required


When the file is chosen, click on next and enter the information needed:

Subscription Type:

Choose the subscription type(s) to which you want to import the list. From here, you can choose between existing ones. To import the list to a new subscription type, you first need to create one. Read more here.

ℹ️ Before you continue from here, it is important to consider how you want to communicate with the contacts in your file. If they should be kept separated and receive their own communication, then you need to make sure to create a new subscription type. For example, if you import a list of sponsors, that needs to be kept separate from your customers.

Legal basis:

Set what type of consent the contacts on the list have given:

  • The contact has actively given you consent by, e.g., signing up through a newsletter signup form.

  • The contact did not actively give you consent but showed an interest in you or your organization by, for example, buying a product from you.

When did you get their consent?

MarketHype will help you keep track of which contacts that have valid consents. Therefore, you need to set when each consent was given for this to be possible. There are two options:

  • Get consent from a column

    If the import file contains information about when consent was given, you can also import this information. When choosing this option, you will, before the next step, select what column the data can be fetched from.

  • Choose date

    If the information is lacking from the file, you can select a date from when the consent shall be valid.

Step 4: Map the columns


Now it is time to map the columns in your file with the correct contact attribute in MarketHype. You will have all the standard attributes to choose from, like First name, Email, etc. If you have created custom attributes, that will also be available.

Simply match the different columns with the correct attribute, for example, the First name with the attribute First name.

Column in file: shows the name of the columns in your file.

Map to attribute: this is where you choose which attribute your column should map to in MarketHype.

Sample column data: shows examples of what your columns include.

Step 5: Start the import


The last thing before starting the import is to give it a name. This name is only used in the import overview for you and your colleagues to know what imports you have made.

When ready, click on Import, and the import will start; you can follow the process in the overview.

Import statistics/information


When an import is finished, numbers with the total rows imported will appear, together with eventual errors. Errors could, for example, occur if there was too little information about a contact, and due to this, it wasn't possible to import the contact.

You can click on the specific import to get more information about the import and possible errors.
