We have gathered a few ideas on when and what to use in Before event automations that we hope will inspire you! ✨

Automation 1: Focusing on upsell


This automation could be your first contact with the visitor (besides their confirmation). It can be set to go out a few weeks before the event and focus on upselling and how to make their visit more luxurious and better.

Restaurant and bar information

Mentioning that you have a restaurant or bar might give the visitor a great idea—to book a table for dinner or meet up with their friends at your bar before the event starts.

Sharing the opening hours with them might be all that is needed. Or why not inspire them by staging a scenario in their minds using storytelling?

Ticket upsells and add-on products

Advertise and share add-on products available to pre-book or buy at the event.

Merchandise on site

Do you offer merchandise at your event, such as t-shirts, hats, pins, and more? If so, let your visitors know to increase sales.

Give some exposure to your main partners

This will increase their brand awareness and boost their profitability, encouraging them to continue sponsoring you.

Automation 2: Pre-event engagement


Engage with visitors to enhance your relationships. You can do this by sending a simple automation email expressing your anticipation of their visit or utilizing some of the examples below.

Use media channels

Create and share a Spotify soundtrack linked to the event. You could also use photos and videos from previous similar events to share the vibe and excitement.

Fun facts about the event and/or the artist

Maybe there is a fun and inspiring history behind the event creation and setup, or the artist has a good story to share. Share this with the visitors to get them more involved, and who knows, maybe the story is so good that they want to share and talk about it with friends and family!

Fun facts about the city

People often travel to other cities to participate in events, so why not share personal tips from you and your colleagues about the city? What should they not miss out on?

This is also a great idea to give your partners and sponsors some exposure.

Automation 3: Vital information


Send a last welcome, including vital information. This will most likely help you decrease the number of questions ending up in your inbox.

Event information

  • Venue area and name

  • Link to the event for the visitor to learn more

  • Directions and parking

  • Reconstructions in the area or venue

  • Wardrobe

  • Recommendations to avoid queuing if possible

Contact/venue information

  • Contact details and opening hours for customer support

  • Link to your or the venue's FAQ

  • Restaurant and bar opening hours
